Prompt Butler Privacy Policy
Prompt Butler is a Chrome extension that saves replies you choose from AI chat sites (ChatGPT, Claude and Gemini) and turns the conversation behind them into reusable prompts, templates and agents. This policy explains what we collect, why, and the choices you have. In short: your workflows stay in your browser, our servers keep only what's needed to run your account and plan, and we never sell your data.
What we collect and why
| What | Why | Where it's kept |
|---|---|---|
| Your name, email address and the role you choose at sign-up | Your account, signing in, and suggesting starter categories | Our secure account database |
| When you ask for early access on our website: your name and email address from Google, and the optional note you write | Reviewing your request and telling you when you're in | Our secure account database |
| Your plan, subscription status, next charge date and amount, and the billing reference numbers our payment processor gives us | Running your plan and showing your billing in Settings | Our secure account database |
| Random IDs of your workflows and when each was made (never titles or content) | Counting new workflows against your plan's allowance | Our secure account database |
| Counts of smart prompts and smart titles you've used | Fair-use limits and keeping the service running smoothly | Our secure account database |
| The conversations, replies and files you choose to save, and the prompts and templates made from them | Your workflow library | Only in your browser, separated per account |
Prompt Butler reads a chat page only when you click Save, open the side panel, or insert a prompt. It does not track your browsing, and we don't use analytics or advertising trackers in the extension.
How your prompts are written
When you save a workflow, the butler carries that conversation and the saved reply to our server, which asks our AI provider to prepare your prompt and brings the result straight back to your browser. With it go the names (not contents) of files attached to the chat, your answers to the butler's questions, the workflow's category and, if the workflow is in a project, that project's brief and the memory items you approved. Before anything leaves your browser, text that looks like a password or API key is removed. Our server does not store any of it; it keeps only the counts described above. Our AI provider processes the text only to write your prompt, under business terms that don't allow it to train its models on your data.
The same applies, only when you click the button, to:
- Assess Prompt: the prompt you typed (in a chat box or in Plan a new task) is sent to be assessed and improved.
- Make it Leaner: the quick trim happens in your browser; the smart trim sends the prompt to be shortened.
- Token counts: ChatGPT counts are worked out in your browser. A Claude count sends the prompt to our server, which asks our AI provider's counting service (it counts tokens and writes nothing). With your own key, a Claude or Gemini count goes straight from your browser to that provider; without one, Gemini shows an estimate made in your browser.
If you add your own Anthropic or Google Gemini API key in Settings, saves, assessments and trims go straight from your browser to that provider under your key instead, and your key stays in your browser. On Google's free Gemini tier, Google may use what you send to improve its products.
Smart titles send only your first prompt in a conversation (with secrets removed) to our server and our AI provider, and nothing is stored afterwards.
Payments
Paid plans are handled by our payment processor. You enter your card on its secure checkout page; Prompt Butler never sees or stores your card number. The processor tells us your subscription status, billing period and next charge so we can run your plan.
Optional connections
- GitHub or GitLab: if you connect your own repository, your workflows' text files sync to it using the access token you provide, which stays in your browser.
- Google Drive: if you connect Drive, files you choose are saved to a "Prompt Butler" folder in your Drive. We request only the
drive.filepermission, so Prompt Butler can see only the files it creates there.
Prompt Butler's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements, and to the Chrome Web Store User Data Policy.
Who we share data with
We don't sell or rent your personal information, and we don't share it for advertising. We use a small number of trusted service providers only to run Prompt Butler: an account database, an AI provider that writes your prompts, a payment processor, and website hosting. Each may use your information only to provide its service to us. If you connect them, GitHub, GitLab and Google Drive receive what you send them. We may disclose information if the law requires it. Ask us for a list of our service providers at any time.
Security
Account data is protected by row-level security, so each account can reach only its own records. Connections use HTTPS. Files you save are kept on your computer and checked against your account before they're opened. Workflows stored in your browser are as secure as your computer and Chrome profile, so keep them protected.
How long we keep data
We keep your account and plan data while your account exists. Workflow IDs and usage counts are kept to enforce plan limits. Payment records are kept by our payment processor as the law requires. Workflows in your browser stay until you delete them, sign out and clear the extension's data, or remove the extension.
Your choices
- Delete any workflow from your library at any time.
- Cancel a paid plan with one click in Settings → Your plan.
- Disconnect GitHub, GitLab or Google Drive in Settings.
- To get a copy of your account data or delete your account, email [email protected]. We'll respond within 30 days.
This website
Our hosting provider processes visitors' IP addresses to deliver and protect promptbutler.ai. The site uses no cookies, analytics or advertising trackers. The early access page signs you in with Google only long enough to record your request, then signs you out; nothing is kept in your browser.
Children
Prompt Butler isn't intended for children under 13, and we don't knowingly collect their information.
Changes
If we change this policy, we'll update the date above and, for significant changes, tell you in the extension.
